Insurance and Payment Policy


PRODUCTION EQUIPMENT INSURANCE - TAKE NOTE

 

DigitalFilm/CineHD has experienced several thefts of equipment whilst on set/s.
We URGE all Producers and Crew members to be fully aware of the following - it may well save your Budget!


Most facilities companies charge an 'Insurance' cost over and above the rental charge. It is usually calculated as a percentage of the value of the hire. This is NOT full insurance! It covers the EXCESS charge you are liable for in the event of a claim.

For example, an SP Camcorder is stolen and the replacement cost is R250000.00. The excess on the claim is R25000.00. By taking the facilities insurance, you are then only liable for the excess, per claim. Fair enough you say? Well, yes and no. There is always fine print..

You, as the Producer need to ensure that you are familiar with most insurance company's terms and conditions of insurance.

No equipment will be covered by any insurance policy under the following conditions : Theft from an unattended vehicle: Theft occurring as the result of any equipment left un-supervised, for any reason what-so-ever. Use of any equipment in an undisclosed known risk area - so make sure to tell the facilities house in writing when entering a known risk area. So, what are you supposed to do? Well, our best advise is to get basic equipment insurance cover with your production insurance.

You, as the hirer are liable for all replacement costs if any equipment is stolen, and the theft was under any of the above conditions. Having additional insurance will cover you for that cost, which depending on the equipment, could run into very high figures.

Above all, don't be fooled into thinking you are covered! By paying the Insurance cost on the rental hire, you are only covered by way of liability for the Excess charge, not the replacement value. Of course, if any equipment is stolen under 'normal' conditions and those conditions are not excluded in a policy, then there is nothing to worry about.

The above exclusions are noted in detail in our Terms and Conditions of hire, which are included in our Rate Card and on our Job Sheets. Please Note : All payments, excluding Cash, are subject to a clearing period, of up to seven working days. Please bear that in mind when planning your Delivery or Collection or gear Check days, as Equipment will not be released without payment.

Hire Payment Terms Digitalfilm is a COD based company. Therefore, any and all hires are payable upfront, (or on presentation of a Tax Invoice if agreed to in writing.) Long form productions or productions' with a hire value of more than R15000.00 (fifteen thousand rand ZAR) require a minimum of 50% upfront.

This is applicable to transfers/telecine/rushes. Payment must have cleared** into our Account* before equipment/tape stock/consumables will be released. Credit Card payments are subject to a fee. We do not accept American Express. Sale Payment Terms No sale equipment, whether new, used or ex-demo will be released for collection or delivery without payment having cleared** into our Account* **/* Due to the current volume of Fraudulent activity, we cannot accept Proof of Payment in the form of Payment Confirmation Slips, whether faxed or Email, for Electronic Funds Transfers.

(Internet Transfers) unless we have received this method of payment from the same client before. It has come to light that Payment Confirmation slips can easily be fraudulently created. Therefore, please note that Digitalfilm's policy is to wait until the amount has terminated into our bank account, and remained there for a minimum of three working days. The same applies for Cheque payments.
